I'm not a KU student or graduate, can I still become a Jayhawk Society or life member of the Alumni Association?
Yes, membership is open to everyone, even if you haven't attended KU. Your membership makes a difference and helps support programs for current students, alumni and retirees. To apply, call 800-584-2957 or join online.
How long can my event last?
The center closes at 12 a.m. and the bar shuts down at 11 p.m.
Why are there two times listed on my confirmation sheet?
The time in bold print designates the function's starting and ending times, while the "reserved" time is utilized for setting up and/or decorating the tables, tear-down, and cleaning up after your event.
How soon can the room(s) be decorated prior to wedding receptions and non-university related functions?
You will have access to your room(s) 3 hours prior to the actual starting time of your event at our facility–if no other functions are previously scheduled that day/night.
Why is there an extended hours fee?
The extended hours fee of $100 covers evening/weekend staffing and facility expenses outside of regular business hours.
What is included in the room rental fee?
Included in the room rental fee are all tables, chairs, tabletop linens, setup and teardown. In addition, podiums with microphones, drop-down screens (not available in all rooms) and roll-in bars are complimentary items.
What kind of decorations are not allowed?
Glitter, sprinkles, confetti, bird seed and bubble soap are not allowed inside the building. Open flame votive candles must be contained in a glass enclosure. Please, no pillar or tapered candles. Tacks, staples, nails and tape are not allowed as they may permanently damage the building.
Is the outside terrace available?
The first floor outdoor terrace is available when weather permits, and must be requested in advance of your event.
Can I reserve the entire parking lot for my function?
In consideration of our other guests, we cannot provide “exclusive” parking. One or two spots may be reserved for your special function.
Is a dance floor available?
Yes, it is available for rent. It measures approximately 12 X 12 or 12 X 15 feet and is required for dances.
If I cancel my non-university related function, will I forfeit my deposit?
If your event is canceled for reasons other than death or natural disaster, penalties will apply according to your signed contract.
Can I bring alcohol in from another source?
No, in accordance with the Alumni Association's state liquor license, the Association must provide and serve all alcoholic beverages. Any excess opened and unopened bottles of liquor must remain on the premises.
Can the Alumni Association provide my favorite alcoholic beverage if it's not on the list?
In most cases, we can accommodate your request and will work diligently to provide your favorite brand. In rare cases, some specialty brands and microbrews are not available to us.
May I bring in my own food?
No, all food items, including nuts and mints, must be provided by one of the caterers from our approved list. They are licensed, insured and also familiar with our kitchens.
Can I bring my own plates, napkins and tableware?
The caterers will provide all table service supplies, including china for sit down, plated meals and optional high-quality plasticware for budget-minded buffets.
Why is there a service fee on my catering invoice?
The Alumni Association assesses a $50 or 10% fee (whichever is greater) of the menu price to the caterer, not the customer, for unlimited use of our full-service kitchens, dishwasher and additional maintenance. Please consult with your caterer for their total service fee that will be charged to you.
If the “additional anticipated charges” on the non-university contract is over estimated will I receive reimbursement?
Yes, these charges are only an estimate and you will receive a refund within 30 days. Conversely, if the charges are underestimated, the Association will bill you within 30 days.
